Accounts Administrator
We are seeking an organised and detail-focused Accounts and Office Administrator to support the day-to-day financial, administrative, HR, and operational activities of the business. This is a part-time, office-based position working four days per week in the office

- Hours: 9:00 a.m. to 5:00 p.m.
- Total weekly hours: 28 hours
- Location: Office-based
- Annual leave: 16 days per annum
- Salary: 36,000
Key Responsibilities:
- Process sales invoices, purchase invoices, credit notes, sales orders, purchase orders, and quotations.
- Manage invoicing for large projects, liaising with Purchasing, the sales team, and management.
- Oversee the processing of smaller customer orders.
- Enter purchase and sales invoices into Enterprise, ensuring prices, VAT, and payment terms are correct before invoices are included in payment runs.
- Reconcile designated supplier accounts and investigate any discrepancies.
- Issue monthly customer statements, following individual customer requirements such as specific email addresses or delivery instructions.
- Process supplier account changes and maintain accurate supplier information.
- Reconcile the company credit card and ensure all supporting receipts are available for VAT recovery.
- Respond to ad hoc requests for financial and administrative assistance.
Repairs and Service Administration
- Work with the relevant team members to obtain purchase order numbers and ensure repair invoices are accurate and consistent with maintenance cover.
- Upload and review Ascom repair invoices, checking for duplicate billing and fully reconciling the account.
- Log faults in Smartsheet, update call notes, follow up on outstanding calls, and monitor their status.
- Check that service dockets have been uploaded, print them, and pass them to the appropriate person for billing.
Office and Company Administration
- Manage general company administration, including insurance, tolls, and vehicle records.
- Maintain the office area and complete general administrative duties.
- Provide PA and administrative support to the General Manager when required.
- Maintain accurate records for external contractors, including insurance documentation.
- Maintain employee records, including holidays, sickness absence, and training.
- Keep health and safety policies and records up to date, liaising with the General Manager where necessary.
- Maintain records of company-issued equipment, including gas monitors, mobile phones, and personal protective equipment.
- Arrange equipment servicing, repair, or replacement when required.
Skills and Experience
- A minimum of two to three years’ experience in an accounts administration or similar role.
- Proficiency in Microsoft Excel and Word.
- Strong attention to detail and a proven ability to meet deadlines.
- Excellent organisational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively as part of a team.
- Experience with invoicing, account reconciliation, purchase orders, VAT, and credit control processes.
- A professional and customer-focused approach to handling queries and complaints.
- Experience using Enterprise or Smartsheet would be beneficial.
